Cancellation & Rescheduling Policy
To support clear scheduling and ensure adequate preparation for your team, the following guidelines apply to all therapeutic sound sessions and institutional events.
Cancellations & Rescheduling
If your department needs to cancel a scheduled session, please notify me at least 48 hours in advance. This allows the reserved time to be released and supports smooth coordination across facilities and staff schedules.
If your team needs to adjust or cancel a session within 48 hours, please reach out as soon as possible. Sessions changed inside this window are typically billed at the full rate, as the time, preparation, and resources have already been reserved for your group. When possible, I’ll work with you to identify a new date that supports your department’s schedule.
Late Arrivals
Sessions begin at the scheduled time. If participants arrive late, the session may be shortened to maintain alignment with facility schedules, room bookings, and other departmental commitments.
No‑Shows
If a session begins and no participants are present, or if no communication is received, the session is considered a no‑show and is billed at the full rate. This supports clarity for both scheduling and resource allocation.
Weather & Emergencies
In cases of severe weather, building closures, or institutional emergencies, please reach out as soon as possible. These situations will be handled with flexibility and understanding.
How to Make Changes
All cancellations or rescheduling requests should be sent by email to heidi@lifeisfree.com.
Provider Cancellations
In the rare event that I need to adjust or cancel a session due to illness, emergency, or circumstances outside my control, I will notify your team as soon as possible. When this occurs, you will have the option to reschedule the session at a mutually available time. Clear communication and continuity of care are always prioritized.
